Service process steps and recruitment process

EXPERTISE, EQUALITY AND RESPONSIBILITY

At Amelie Care, we don't select faces—we select based on expertise. Our anonymous recruitment process ensures that you choose a professional for your home based purely on qualifications and attitude. When the process is objective, the result is more sustainable for your family.

We recruit trained professionals living in Finland—such as early childhood educators, practical nurses, housekeepers, personal assistants etc.—for families around the world. Finnish "sisu" (resilience), pedagogical expertise, and reliability are globally renowned, and we connect workers with homes in need, regardless of their country of residence.

All our service packages are designed for employment contracts of at least six (6) months or permanent positions. We do not provide short-term assistance or au pair solutions, as we believe that everyday stability and a family's sense of security arise from long-term commitment.

Our service package prices reflect our commitment to ethical recruitment. We act as your partner, ensuring that the search is transparent and backgrounds are thoroughly vetted—our goal is to create a solid foundation for mutual trust and a smooth everyday life for your family.

SERVICE STEPS

Needs Assessment and Commission

Timing and Contact

Please contact us at least four (4) months before the desired start date to ensure a high-quality recruitment process. Fill out the "Contact Us" form for families carefully on our website, and we will get back to you via email.

Assessment and Service Selection

We will assess your family's individual needs through an initial consultation via email. Based on this, you will choose the service level that best suits you: Amelie Care BRONZE, SILVER, GOLD, or PLATINUM.

Commission Agreement and Security

Following the assessment, we will send you an official commission agreement drafted by an expert lawyer. This contract clearly defines Amelie Care's role as the recruiter and the family's role as the employer. We use strong electronic identification for the agreement to ensure the legal protection and data privacy of both parties.

INSTALLMENT 1 – Advance Payment (25%)

The recruitment process begins immediately after the contract is signed and the first payment installment is made. This payment is binding and covers the immediate startup costs of the process.

Anonymous Recruitment and Pre-selection

Launch of Anonymous Search: We begin a search where the candidates' personal details remain hidden. Selection is based solely on skills, experience, and suitability.

Screening Based on Expertise: We filter applicants based on education, work experience, and professional attitude to match your family's specific requirements.

In-depth Expert Interview: We interview the most potential candidates in both Finnish and English to verify their professional skills and suitability for the position.

Background Checks and Presentation of Candidates

Background Verification: We verify all documents (diplomas, criminal record extract, first aid certificate, and driver's license) and check references for the top-performing candidates.

INSTALLMENT 2 – Presentation Fee (25%): Invoiced in connection with the presentation of candidates. Detailed candidate information will be confirmed to the family only after the payment has been received.

Family and Candidates: The family meets the candidates (e.g., via video call). The family selects a primary employee from the candidates, as well as one backup candidate. This ensures continuity in case of unexpected situations.

Employment Contract and Commencement of Work

Drafting the Employment Contract: The employment relationship is formed directly between the employer family and the employee. We recommend using the legal services of our partner, Law Clinic Oy, for drafting the contract. Please note that they will invoice the family directly for this service according to their own price list.

INSTALLMENT 3 – Success Fee (50%): Invoiced immediately once the employer family and the employee have signed the employment contract.

Starting Work: The employee begins work on the agreed date. The employer family bears full employer responsibility and is responsible for the guidance and supervision of the work in daily life.

Payment Terms: The payment term for all invoices is fourteen (14) days.

IMPORTANT SERVICE INFORMATION

Service Packages and Scope of Assignment

Amelie Care GOLD, SILVER, and BRONZE: The service always includes one (1) active search period. If a suitable candidate is not found during the initial round, we will launch one (1) anonymous supplementary search at no additional upfront fee.

Amelie Care PLATINUM: The scope and duration of the assignment are always tailored case-by-case based on the specific requirements of the project.

Recruitment Process

Every service package includes prescreening tasks for the anonymous search as well as a background check of the top candidates. During the background check, we verify candidates' educational certificates, criminal record extracts, validity of first aid certification, and driver's licenses.

Responsibilities and Legal Roles

Amelie Care acts as a recruitment service provider and consultant. All our assignments are based on a professional service agreement drafted by a legal expert, which defines the framework of the service and ensures legal protection for both parties.

The employment relationship is formed directly between the family and the employee, whereby the family is responsible for all employer obligations and payroll. The family is responsible for drafting the employment contract. We guide families to use official employment contract templates and, if necessary, recommend consulting our partner, Law Clinic Oy, for legal advice or a customized contract (please note that this is a separate, paid service).

Payment Terms and Service Process

All service prices and percentages listed below include Value Added Tax (VAT). Billing is divided into three parts based on the progress of the work:

Advance Payment (25% of the total sum): Invoiced at the start of the assignment, immediately after the agreement is signed. This installment covers the launch of the search and profiling. This payment is binding and non-refundable.

Presentation Fee (25% of the total sum): Invoiced once we present the selected and prescreened candidates to the family. This payment is binding and non-refundable.

Success Fee (50% of the total sum): Invoiced immediately once the family and the employee have signed the employment contract.

Cancellation Policy: If the client cancels the assignment for their own reasons after a work phase has already been completed, previously paid installments will not be refunded. All billable installments are based on the total VAT-inclusive price confirmed in the assignment agreement.

Recruitment Guarantee

The recruitment guarantee included in the service takes effect only after the full service fee (100%) has been paid.

Prices and Value Added Tax (VAT)

The prices presented for the service packages are total prices and include VAT.

How is VAT determined?

Clients within the EU: Since we provide expert services from Finland, all sales within the EU are subject to the Finnish VAT rate (25.5%), regardless of the family's country of residence.

Clients outside the EU: If your family resides outside the European Union (e.g., Switzerland, Norway, the United Kingdom, or the United States), the service is considered a tax-free export, and no VAT will be charged (0%).
